Data Deletion

There are two separate things here, and they are handled by different people. Start with the one that matches what you want removed.

School records: ask your school

If you are a parent or a staff member, approach your school's administrator. We cannot action these requests for you. Records about students, parents and staff belong to the school that created them. The school decides what to keep and what to remove, and it can do both directly in Slate. We hold those records on the school's behalf, so we are not able to delete them on the request of an individual.

Your school office can tell you who its Slate administrator is.

One thing to expect: a school is entitled to keep the record of a student who has studied there. Attendance, fees paid and marks are the school's own account of what happened, and a school usually needs them long after a student leaves, including to issue certificates later. A school may also be required to retain records by its board or by law.

Your webStrake account: through webStrake

Everyone who signs in to Slate does so with a webStrake account. Students do not have accounts; their parents do.

Closing that account, and any request about the account itself, is handled under the webStrake Privacy Policy. Requests go to contact@webstrake.com.

Closing your account removes your ability to sign in. It does not remove your school's records about you, which remain the school's to keep or remove as described above.

If you run the school or the organization

You can remove most things yourself while your subscription is active.

  • A student who has left is moved to former students, where their history stays available and they can be re-admitted later.
  • A staff member who leaves can be made inactive so they can no longer sign in.
  • Individual records such as notices, diary entries, discipline incidents, visitor entries and photographs can be deleted from the screen they live on.
  • Visitor photographs are removed automatically thirty days after the visit.

To have a whole school's records deleted, write to us from an address we can verify as belonging to someone authorised to act for the organization. Because deleting a school's records cannot be undone, we will confirm your authority before acting, and we may decline a request we cannot verify.

When a subscription ends

When a subscription ends, access ends. We keep your school's records for a period afterwards so that a school which renews late does not lose its history, and so you have time to export what you need. After that, the organization can ask us to delete them.

Please export what you need before your term ends. Slate can produce attendance reports, fee collection reports, receipts, progress cards and certificates.

What cannot be deleted immediately

  • Records we are required to keep by law, such as invoices and tax records for a subscription that was paid for.
  • Copies held in routine backups, which are removed as those backups age out rather than being edited individually.
  • Information we need to retain to establish, exercise or defend a legal claim, or to prevent fraud and misuse.
